What we collect, why we hold it, who else touches it, and how to get it back or have it deleted.
1. Two different roles
This matters for knowing who to ask about what, so it comes first.
For the businesses who subscribe to Laundry Manager — the account details of owners and staff — we are the data controller. We decide what we collect and why, and this policy describes it.
For the laundry customers whose names and phone numbers a business records in the software — we are only the processor. The laundry business decides what to collect and why; we hold it on their behalf and act on their instructions. If you are a laundry customer asking about your own details, contact the laundry that serves you. We will help them respond.
2. What we collect
Account information. Your name, email address and phone number, your business name and web address, your role, and which branches you work in. Sign-in is handled by our authentication provider; we store an identifier for your login, not your password.
Business records you enter. Orders, items, prices, payments, discounts, voids, till sessions, expenses, inventory, deliveries, and the customer names and phone numbers you choose to record.
Payment information. Subscription payments go through Paystack on their own pages. We never see or store your card or bank details. We keep a record of what was paid and when, the reference, and the identifiers Paystack gives us for your customer and subscription.
Technical and usage information. Ordinary server records needed to run and secure the service, an audit trail of significant actions inside your account (who voided an order, who changed a price), and delivery logs for messages you send.
Enquiries. If you fill in a form on one of our marketing pages, we keep what you submitted so we can reply.
3. Why we hold it, and on what basis
- To provide the service — performance of our contract with you. Without your account and business records there is nothing to run.
- To take payment and prevent fraud — contract, and our legitimate interest in being paid.
- To keep the service secure and working — our legitimate interest in a service that stays up and is not abused.
- To support you — contract and legitimate interest.
- To meet legal and tax obligations — legal obligation.
- To send you product and marketing messages — your consent, which you can withdraw at any time. Messages about your own account, such as a failed payment, are not marketing and are sent because you have an account.
4. Who else touches your data
We use other companies to run parts of the service. They act on our instructions and may not use your data for their own purposes:
- hosting, database and application infrastructure;
- authentication, for sign-in;
- Paystack, for subscription payments;
- email delivery, for account and lifecycle notices;
- SMS gateways, where your business enables messaging — usually with credentials you supply, in which case that gateway is your provider, not ours;
- an AI provider, where AI features are switched on for your account (see below).
Some of these providers operate outside Nigeria, so your data may be processed abroad. We only use providers that offer appropriate protection for it.
We do not sell your data, and we do not share one business's records with another.
5. AI features
If AI features are enabled for your account, we send a summary of your own business figures — totals, top services, top customers by spend, expense categories, stock levels, your service prices and your website text — to an AI provider so it can answer your questions or draft content for you.
Only your own account's data is sent, it is sent only when someone in your account uses one of those features, and the AI has no ability to change anything in your records — it receives a read-only summary and returns text. If you would rather this never happened, ask us to switch the AI features off for your account.
6. How long we keep it
We keep your business records for as long as your account exists, because they are your books and you may need to look back at them.
If you cancel, your data stays available to restore for a reasonable period so a change of mind or a late renewal doesn't cost you your history. You can ask us to delete it sooner. Once you ask us to close your account we delete your records, except anything we must keep by law — payment records for tax purposes, for example.
Operational logs — message delivery records, AI conversations, sign-in and audit records — are kept only as long as they are useful for support, security and dispute resolution.
7. Your rights
Under the Nigeria Data Protection Act 2023 and related regulations you can ask us to:
- tell you what personal data we hold about you;
- give you a copy, in a portable form;
- correct anything wrong;
- delete it, where we have no need or legal duty to keep it;
- stop or limit a particular use, including withdrawing consent to marketing.
Ask using the contact details below and we will respond within the time the law allows. If you are not satisfied, you can complain to the Nigeria Data Protection Commission.
8. Security
Access to a business's data requires a sign-in that belongs to that business, and every request is checked against it. Staff see only what their role and branch allow. Significant actions are recorded in an audit trail. Payments are handled by Paystack, so card details never reach our systems.
No system is perfectly secure. Use your own sign-in, give each staff member their own, and remove people when they leave.
9. Cookies
We use only the cookies the service needs to work — we do not use advertising cookies or third-party trackers:
- a session cookie from our authentication provider, which keeps you signed in;
- a short-lived cookie on our marketing pages that lets a form be submitted once and stops the same form being used for spam.
10. Children
Laundry Manager is business software and is not intended for children. We do not knowingly collect their data.
11. Changes
We may update this policy. The date at the top shows the current version, and we will give reasonable notice of material changes. Our Terms of Service sit alongside this policy.
